1. Introduction

These Terms & Conditions govern the travel planning and advisory services provided by Signature Japan Experiences ("we", "us", "our"), operated by Paul McClure and Saori McClure as an Independent Affiliate of Trevello Travel Group Inc. By engaging our services, you ("the client") agree to these terms in full.

2. Our Services

Signature Japan Experiences provides bespoke travel planning and concierge advisory services specializing in private Japan journeys, including guided tours, cultural immersion, food and sake experiences, and Japanese heritage research. Our services include:

  • Personal travel consultations
  • Custom itinerary design and proposal
  • Booking and coordination of flights, accommodation, transfers, tours, and experiences
  • Pre-departure documentation and travel guidance
  • In-trip support throughout your journey

We act as your travel advisor and booking agent. We are not a travel supplier — all bookings are made through our host agency, Trevello Travel Group Inc., or directly with third-party suppliers on your behalf.

3. Professional Trip Planning & Concierge Fee

Signature Japan Experiences charges a professional trip planning and concierge fee for our advisory and planning services. This fee reflects the time, expertise, and personalized care we provide throughout the planning process.

Our professional fee covers:

  • Your initial consultation
  • Itinerary research, design, and proposal
  • Up to three (3) rounds of itinerary revisions following the initial proposal
  • Booking coordination and documentation
  • Pre-departure support and in-trip assistance

The professional fee is non-refundable once the planning process has commenced. The fee amount will be discussed and agreed upon during your initial consultation, prior to any planning work beginning.

Additional revision rounds beyond the three included may be subject to an additional fee, which will be communicated to you in advance.

4. Itinerary Revisions

Following the delivery of your initial itinerary proposal, we include up to three (3) rounds of revisions at no additional charge. A revision round is defined as a single set of changes communicated to us in one request.

We encourage clients to consolidate all requested changes into each revision round to make the most efficient use of the revision allowance. Additional revision rounds beyond the three included may be subject to an additional fee.

5. Bookings & Payments

All bookings are subject to the terms, conditions, and payment schedules of the relevant suppliers (airlines, hotels, ryokan and temple lodgings, tour operators, etc.). Deposit and final payment deadlines vary by supplier and will be clearly communicated to you prior to booking.

By authorizing us to proceed with a booking, you confirm that you have reviewed and accepted the relevant supplier's terms and conditions, including their cancellation and refund policies.

Payments for travel services are processed through Trevello Travel Group Inc. in accordance with their payment procedures.

6. Cancellations & Amendments

Cancellation and amendment policies vary by supplier. We will clearly communicate the applicable policies for each component of your trip prior to booking confirmation.

In the event of cancellation by the client:

  • Supplier cancellation fees will apply as per their individual terms and conditions.
  • Our professional planning fee is non-refundable.
  • We will make every effort to recover funds on your behalf, subject to supplier policies.

We strongly recommend that all clients purchase comprehensive travel insurance covering cancellation, medical emergencies, and trip interruption prior to making any travel bookings.

7. Travel Insurance

Signature Japan Experiences strongly recommends that all clients purchase comprehensive travel insurance. This should include, at minimum:

  • Trip cancellation and interruption coverage
  • Emergency medical and evacuation coverage
  • Baggage and personal effects coverage

We can provide referrals to reputable travel insurance providers upon request. Failure to obtain adequate travel insurance is the sole responsibility of the client.

8. Passports, Visas & Health Requirements

It is the client's responsibility to ensure they hold a valid passport and any required visas for their destination(s). We will advise on known requirements for your specific itinerary; however, visa regulations are subject to change and we recommend verifying current requirements with the relevant embassy or consulate prior to travel.

Health requirements including vaccinations and entry health documentation vary by destination. We strongly advise clients to consult a travel health clinic well in advance of departure. We are not responsible for any costs or disruptions arising from failure to meet entry requirements.

9. Limitation of Liability

Signature Japan Experiences acts as an agent for third-party travel suppliers. We are not responsible for the acts, omissions, or negligence of any airline, hotel, tour operator, or other supplier, nor for any injury, loss, damage, or inconvenience arising from their services.

In the unlikely event of a supplier failure, we will make every reasonable effort to assist you in finding alternative arrangements; however, we cannot guarantee refunds or replacements beyond what is recoverable from the supplier or their insurers.

Our liability to you shall not exceed the total fees paid to Signature Japan Experiences for our advisory services.

10. Privacy

Signature Japan Experiences is committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA). Personal information collected during the planning process will only be used to arrange and support your travel, and will not be shared with unaffiliated third parties without your consent, except as required by law.

Our privacy practices are governed in accordance with the Trevello Travel Group Privacy Policy, available at trevello.com/ca/privacy-policy.

11. Governing Law

These Terms & Conditions are governed by the laws of the Province of Ontario and the laws of Canada applicable therein. Any disputes arising from our services shall be subject to the jurisdiction of the courts of Ontario.

Signature Japan Experiences is registered with the Travel Industry Council of Ontario (TICO), Registration # 5003057.
